Van Hire Services Terms & Conditions

When booking an event with The Prosecco Van, you will be required to agree to a unique set of terms and conditions tailored specifically to the terms of your hire.

General terms and conditions are listed below. These terms may not reflect the actual terms and conditions of your event.

Booking Agreement
A completed booking form and deposit are required to confirm your booking with The Prosecco Van.

Deposits and Cancellations
All bookings are subject to a 20% deposit. If your event is scheduled to take place within 30 days of enquiry, full pre-payment will be required to secure your booking.

The booking deposit is strictly non-refundable.

Travel
The Prosecco Van is based in Melbourne, Victoria. Travel costs are factored in to all quotes for events taking place in Victoria.

We cannot guarantee availability outside of Victoria. Please ensure you are allowing significant lead time if you wish to hire a Prosecco Van interstate and understand that transport and travel surcharges will apply.

Guest Numbers
The customer is required to provide an accurate and truthful count of attendees for their event at the time of booking. This information is essential for proper planning and service delivery.

If the actual number of attendees exceeds the count provided by the customer, we reserve the right to charge additional fees to cover the extra guests. These charges will be based on our standard pricing and must be paid in full.

If the actual number of attendees exceeds the reported count and we run out of drinks, or other provisions due to the inaccurate information provided by the customer, we will not be held responsible. The customer assumes full responsibility for any shortages caused by underreporting their guest count.

If the customer provides a higher guest count than the actual number of attendees, no refunds or credits will be issued for unused portions of the service.

Event Access
It is the client's responsibility to provide access to the delivery location and arrange for any necessary parking or permits, including payment of any parking or permit costs for our delivery vehicles.

It is the responsibility of the client to ensure that The Prosecco Van and our personnel has safe and adequate access to the event location. The client is also responsible for ensuring measurements and weight-loadings are accurately reported in advance of the event; steep, unsealed and difficult terrain is notified of before arrival and barriers to entry including gates and bollards are accounted for. We will not be held responsible for delays to service arising from poor or inadequate access.

Our personnel use reasonable endeavours to comply with all applicable legislation and standards related to maintaining safe work practices.

Responsible Service of Alcohol
In providing services for the event, we commit to adhering strictly to the relevant State Responsible Service of Alcohol (RSA) requirements. All personnel involved in the service of alcohol will be appropriately trained and hold valid RSA certificates, ensuring they are knowledgeable about responsible alcohol practices. We will monitor guest consumption, refuse service to underage or intoxicated individuals, and promote safe drinking behaviour throughout the event. Our priority is to provide a safe and enjoyable experience for all guests, upholding the standards and legal obligations set out by RSA guidelines.

The legal drinking age in Victoria is 18 years. It's illegal to supply alcohol to underage people on licensed premises and a minor to be on licensed premises to purchase or consume alcohol. The Prosecco Van will not sell or serve alcohol to a customer if they suspect the customer will give the alcohol to a minor. This is called secondary supply and it is against the law.

Safety, Violence and Theft
The Prosecco Van staff reserve the right to take all stock and equipment and leave an event at any time, if they believe there is a possibility of theft, violence or any other threat to their safety. If this occurs, no payment or deposit is refundable.

Cash Bar Service
For “Cash Bars” Bar tabs or consumption bars a minimum spend will be imposed on the event. If the minimum spend is not put through the bar on the night, the client will be liable to The Prosecco Van for the difference. Attendees may not bring their own drinks or alcohol to a cash bar or consumption event as it is a violation of liquor licensing laws and will incur additional charges. If the event is closed-down early for any reason, the client is remains liable to The Prosecco Van for the minimum spend.
